Job Description

Job Summary: Operations Administrative Assistant - based onsite in Florence, KY

We are offering a $2,500 sign on bonus!

Our Operations Administrative Assistant will provide administrative support to ensure production can continue with minimal disruptions. In this role you will provide excellent administrative assistant to the management team. You will run daily and weekly meetings which are pivotal to production whilst also generating reports for both internal and external stakeholders of the business. This is a fast-paced dynamic role which requires a lot of flexibility and adaptability.   

Key Responsibilities and End Results:  

  • Coordination of manufacturing documentation and deliverables between departments to ensure deadlines are met 

  • Supporting all departments in Manufacturing with administrative tasks 

  • Manage travel logistics and activities, including accommodations, and transportation where required

  • Expenses for Managers 

  • AmEx site administrator  

  • Assigning I-Factory certificates  

  • Be seen as the main point of contact for visitors attending site

  • Provide site support on the internal and external booking of meeting rooms

  • Participate in meetings and support the capture of minutes and actions 

  • Generate reports for senior executives and customers 

  • Work cross functionally with all areas of the business to ensure you have gathered the appropriate information for meetings/ reports 

  • Update and maintain internal manufacturing systems 

  • Raise purchase requests and orders when required for selected overhead costs 

  • Manage the internal SharePoint for the site

  • Updating TMS (Transportation Management System) for management and line leads

Minimum Requirements:  

  • High school diploma/GED required

  • 2 years experience in an administrative role in a manufacturing environment preferred

  • Excellent computer skills with intermediate / advanced MS Office skills 

  • Highly motivated and enthusiastic individual with strong communication and interpersonal skills and ability to work with cross functional teams

  • Strong planning and organizational skills with an attention to detail
